Getting Started

What does RoxE Rentals do?
RoxE Rentals is a full-service short-term rental management company for property owners in the Dallas–Fort Worth area and Cedar Creek Lake, Texas. We handle everything from listing setup and dynamic pricing to guest communication, cleaning coordination, tax filing, and monthly owner reporting, so owners earn from their property without running it day to day.

What areas do you serve?
We manage homes across Dallas–Fort Worth, including Fort Worth, Dallas, Burleson, Midlothian, Mansfield, and Grand Prairie, plus lakefront homes on Cedar Creek Lake in the Mabank and Gun Barrel City area. If your property is outside these areas, contact us; we evaluate new markets case by case.

Who is behind RoxE Rentals?
RoxE Rentals was founded by Roxanne Myers, an Airbnb Superhost and Superhost Ambassador who mentors new hosts. RoxE is a woman-owned, Texas-based company focused on a boutique, guest-first approach rather than high-volume management.

What kinds of properties do you manage?
We manage single-family homes, condos, guest suites, and lake houses, from one-bedroom urban condos to homes that sleep 12. The best fits are properties in areas where short-term rentals are permitted, with owners who want professional hospitality standards.

How do I know if my property would do well as a short-term rental?
We start with a free revenue estimate based on comparable listings, seasonal demand, and local events in your area. From there we give you a realistic projection of nightly rates, occupancy, and annual revenue before you commit to anything.

How long does onboarding take?
Most properties go live within 2–4 weeks, depending on furnishing, photography, and local permit requirements. During onboarding we sign the management agreement, agree on any improvements, create your house manual, stage the home, schedule professional photography, meet with the cleaning team, connect smart devices, and set up your listing, pricing, and guest messaging before going live.

What do you need from me to get started?
We'll need property access, your Wi-Fi and utility details, any HOA rules, proof of short-term rental insurance, and help with local permit applications where required. We'll also give you our startup checklist, so you can cross off anything you already have. It covers:

  • Safety and tech: smart lock, smart doorbell camera, smoke and carbon monoxide detectors, first aid kit, and a USB/USB-C charging station.

  • Kitchen: dishes, cups, and silverware for your maximum guest count, basic pots, pans, and utensils, oven mitts, kitchen towels, and a tall trash can.

  • Bath: bath towels for every guest, hand towels and washcloths for half your guest count, refillable soap, shampoo, conditioner, and body wash dispensers, a plunger and brush set, and spare bath mats.

  • Bedrooms: comforters or duvets, mattress and pillow covers, extra pillows, and one extra set of sheets per bed to rotate.

  • Cleaning and laundry: mop, broom and dustpan, cleaning towels, spray cleaners, laundry detergent, and lidded trash cans in each bedroom and bathroom.

We aim for more than 60 listed amenities to help your property rank well in search, and we'll recommend "nice to have" upgrades like a coffee bar, games, and outdoor extras based on your guests.

Services and Fees

How much does RoxE charge?
Our fee is a percentage of booking revenue after platform fees (Airbnb, Booking.com, Vrbo, and others), quoted after we review your property. We only earn when your property earns.

What's included in full-service management?
Full-service management includes listing creation and optimization, professional photography, dynamic pricing, 24/7 guest communication, guest screening, cleaning and turnover coordination, restocking, maintenance coordination, hotel occupancy tax filing, and monthly owner statements.

Are there any setup or onboarding fees?
Yes, a one-time setup fee covers professional photography and listing setup.

Who pays for cleaning?
Guests pay a cleaning fee with each booking, which covers the turnover clean by our vetted local cleaning partners. Your monthly owner statement shows both the cleaning fees collected and the cleaning payments made to our cleaning team.

Who pays for supplies, repairs, and maintenance?
Owners cover property expenses such as consumables, repairs, and replacements. We coordinate the work and pass costs through at cost, itemized with receipts on your monthly statement. We contact you before any repair over $200.

What ongoing maintenance do you coordinate?
We follow a preventive maintenance schedule so small issues don't become expensive ones. That includes monthly lock code, appliance, and smoke detector checks; quarterly AC filter changes, leak inspections, and deep cleans; and twice-yearly pest control, HVAC servicing, and water heater maintenance.

Do you offer co-hosting or partial management?
Not at this time. We offer full-service management only, so every property gets the same standard of care.

Pricing and Revenue

How do you set nightly rates?
We use a dynamic pricing tool that adjusts your rates daily based on demand, seasonality, local events, and competing listings. We set minimum price floors so your home is never underpriced, and we review performance regularly to adjust strategy.

Which booking sites will my property be listed on?
Your property can be listed on Airbnb, Vrbo, Booking.com, Google Vacation Rentals, and our own commission-free direct booking site at book.roxerentals.com. All calendars stay synced in real time, which prevents double bookings.

Do you accept mid-term or monthly rentals?
Yes. For suitable properties we can add 30+ day stays for traveling nurses, corporate housing, and insurance relocations, which helps fill slower seasons.

How do you maximize occupancy in slow seasons?
We combine dynamic pricing, length-of-stay discounts, mid-term rental channels, and targeted promotions around local events. We watch booking pace closely and adjust before gaps form, not after.

Do you guarantee income?
No. Short-term rental revenue depends on the market, season, and property. We don't make income guarantees, but we provide realistic projections upfront and full transparency on performance every month.

Guests and Operations

How do you screen guests?
Guests are verified through the booking platforms' identity checks, and we review every reservation for red flags. We enforce house rules on occupancy, parties, and pets, and we monitor for issues during every stay.

Do you allow parties or events?
No. Events and parties are prohibited at all properties we manage, and we use noise-aware practices and clear house rules to protect your home and your neighbors.

Who handles guest communication?
We do, 24/7, from the first inquiry through checkout and reviews. Guests receive detailed check-in instructions, a digital guidebook, and fast responses to any questions during their stay.

How do guests check in?
Guests check in themselves with a smart lock code that is unique to each reservation and changes after every stay. No keys to hand off or lose. We recommend smart locks that allow us to control this, so wait until we discuss before you purchase.

How do you handle cleaning and turnovers?
Trained local cleaning partners handle every turnover to a hotel-level standard, including linens, restocking, and a condition check. Cleaning is scheduled automatically with each booking, so no turnover is missed.

What happens if a guest damages my property?
We document damage with photos, file claims through the booking platform's host protection (such as Airbnb AirCover), and use security deposits or damage protection on direct bookings. We coordinate repairs and keep you informed throughout.

Do you provide anything special for guests?
Yes. Guests at RoxE properties receive a Texas-themed welcome basket, including a Lost Oak Winery wine experience, which consistently earns mentions in five-star reviews.

Money, Reporting, and Taxes

How and when do I get paid?
Owner payouts are sent monthly by the 10th via ACH.

What reporting will I receive?
Every month you receive a branded owner statement showing each reservation, revenue by channel, expenses with receipts, management fees, and your net payout. We also send a short video walkthrough covering performance trends and our recommendations.

Do you handle hotel occupancy taxes?
Yes. Airbnb collects and remits Texas state hotel occupancy tax on its bookings. Where cities require it, we file and remit local hotel occupancy tax on your behalf, including tax collected on direct bookings. Filing schedules vary by city, and we track each one.

Will I have access to my calendar and bookings?
Yes. Owners receive read-only access to their property's calendar.

Permits, Insurance, and Compliance

Do I need a permit to operate a short-term rental?
Many DFW cities, including Burleson, Dallas, and Grand Prairie, require short-term rental permits or registration, and rules differ by city. We research the requirements for your address and help you prepare the application before your listing goes live.

What insurance do I need?
Standard homeowners policies often exclude short-term rental activity, so we recommend a short-term rental or landlord policy that covers guest stays. We don't set a minimum coverage amount, and we can point you to providers that specialize in vacation rentals.

Can you manage a property with an HOA?
Yes, as long as the HOA allows short-term rentals. We'll review your HOA rules during onboarding and build any restrictions, such as parking, pool access, or minimum stays, into your listing.

Owner Use and Agreement

Can I still use my property?
Yes. Owners can block dates for personal stays with 7–14 days' notice, as long as the dates are still available. We don't recommend canceling an existing reservation for personal use, because host cancellations carry platform penalties and can hurt your listing's ranking. Please let us know early if you want peak dates.

Do I have to give up my existing Airbnb listing?
We typically move your property to RoxE's professional host account, so pricing, messaging, and reviews are managed in one place.

How long is the management agreement?
Our agreement is month-to-month after an initial 3-month term, with 30 days' written notice to cancel.

What happens to future bookings if I cancel?
We will make every effort to offer affected guests alternative accommodations. RoxE fees apply to any money already collected on those reservations.
